What if I do not have an email address? We suggest that you utilize our touchtone registration system (703-707-2662) as a convenient alternative. First you need to call 703-435-6800 x2100 to obtain a customer identification number. You can also come into the community center, mail or fax in registrations, or drop off registration forms at the center to register.
What should I do if my email address has changed? You can send an email to parksandrec@herndon-va.gov with your new address or call us at 703.787.7300.
Why doesn't my registration work on the online system? There are several reasons why your registration may not be working. The customer ID number or password you are using could be incorrect. Your account may not have been processed yet. Remember it takes up to 2 business days for account approvals. The class you are trying to register for may not be listed online due to special registration requirements. The participant may be too young or too old for the class. The registration period may not have opened yet (refer to the current brochure for resident and non-resident registration dates). Send an email to parksandrec@herndon-va.gov or call the Community Center with any questions you may have.
How do I add family members to my account? Click on "My Account." Next, click on "Change Family Members." Then fill in all the information for the family member (must include birthday in order to register for activities). Next, click on "Submit" - this will take you back to the family entry screen; at the top of the screen, it lists all of the family members listed in your account. The new family member will be added to your account at this time - you can verify this by looking at the above step; you will only need to do this step once for each person that you are adding to your account. After you verify that the family member has been added to your account, click on the "My Account" button under the family list. Click on the blue "GO" button on the right hand side of the screen to register for activities. Before a family member can be registered in an activity, he or she must be added to your account.
Can I pay for part of the class now and part of the class later? When using online registration you must pay for the entire balance at the time of registration.
What if I have a balance due on my account? You will not be able to pay on an account balance, such as for our preschool program or swim team, through our online or touchtone systems. Payment for an account balance can be sent in by mail or by coming into the Community Center and submitting your payment.
What if I have a letter of credit on my account? Customers can now use their "credit on account" for Internet registrations. If you have a credit with the Town of Herndon Parks and Recreation Department, it will automatically be applied when registering for any program online when you check out.
How do I make sure my account has not been charged if I decide not to register for a class? Your registration is only complete after you complete the check out process. If you choose to discontinue before receiving the confirmation message, your transaction will be automatically deleted.
Will I receive a receipt of my registration? Everyone will receive a receipt of their registration transactions. Individuals who register through our online registration system should print out a copy of the confirmation received online. Receipts will be printed and sent to individuals for registrations processed through any of our other methods of registration (mail, fax, touchtone, walk-in, or drop-off).
How do I know if I am a Town of Herndon resident? Two easy indicators are if your car personal property tax sticker on your car is issued by the Town of Herndon or if your water bill comes from the Town of Herndon. Click here to view a listing of streets in the Town of Herndon.
What if I am not a Town of Herndon resident? Individuals who do not live within the Town of Herndon are absolutely welcome to participate in our programs and activities! As a Town of Herndon operation, we provide discounts and registration priority to Town of Herndon residents, but non-Town of Herndon residents are always welcome to participate. Where is the office? The administrative office is located in the Herndon Community Center at 814 Ferndale Avenue, Herndon, Virginia, 20170.
What credit cards are accepted? Online payment is accepted by Discover, American Express, Visa, and MasterCard.
What if I don't have or don't want to use a credit card? Registrations are accepted with check or cash either by coming into the community center or by mailing in your registration forms with payment.
What is the refund procedure if I decide to cancel a completed registration? To request a refund please call the Community Center. If a class is cancelled due to low enrollment, you will automatically receive a full refund. Refunds for any reason are issued less 20% (maximum $10) up to 3 days before a program starts. Once the program begins, only credits on account will be issued. Less than 3 days before a program starts or after a programs starts, up until the midpoint, refunds are given for medical reasons (doctor's note is required) or relocation of at least 20 miles from the Town of Herndon. Refunds are calculated based on the remaining classes at the time the request is made. Credit on account is also available and is not subject to a service charge. After the mid-point of a program, no refunds or letters of credit will be given for any reason. Exception: Trips with specific refund request deadlines, the 20% fee applies. All admission fees and passes are nonrefundable. Refund requests may not be made online.
What happens if it rains and my class is outdoors? Decisions on outdoor classes will be made one hour prior to the start of class. Late cancellations may occur due to unpredictable weather conditions. Reminder: although it may not be raining at the time of your class, earlier rain may have left the courts or fields unplayable. Please call 703-435-6866 for inclement weather information. Whenever possible classes will be made up at the end of the session at the regularly scheduled class time.
What if my child is a little young/old according to the class description? You will be required to enter the participant's birth date in order for the system to determine that you are the appropriate age for the class. Participants must be the proper age listed for the activity at the start of the program. Exceptions to the age limits listed for an activity will need to be made by the supervisor who oversees the program. Call the Community Center to discuss your situation with the appropriate staff member.
What should I bring to the first day of class? Bring a copy of your online registration receipt and any required items listed in the class description.
